Consent to Use of Technology

This Consent to Use of Technology explains how The Alpha Clinic (“we,” “us,” or “the Clinic”) may communicate with you electronically, the benefits and risks of doing so, and our approach to AI-assisted tools. It supplements our Privacy Policy, which describes more generally how we collect, use, and protect your personal information. By communicating with us electronically or receiving services from The Alpha Clinic, you acknowledge and consent to the terms below.

1. Technologies We May Use

Depending on your preferences and the nature of your care, we may communicate with you using:

•     Telephone calls.

•     Email.

•     Text messaging (SMS).

•     Video calling for virtual/telehealth appointments.

•     Our online patient portal and booking system (Jane/ Oscar/ Ocean), for scheduling, secure messaging, and accessing certain records.

We refer to these collectively as “Technology” in this consent.

2. Purpose and Benefits

We use these Technologies to make it easier to book and manage appointments, communicate with you about your care in a timely way, and offer virtual visits where clinically appropriate. Use of Technology is intended to complement, not replace, in-person care.

3. Risks of Electronic Communication

While we take reasonable steps to protect your privacy and security, no method of electronic communication is completely secure. Risks associated with using Technology include:

•     Messages may be misdirected, intercepted, or accessed by unauthorized parties.

•     Email and text messages are not always encrypted, and encryption cannot be guaranteed end-to-end in every case.

•     Devices and accounts may be vulnerable to malware, phishing, or unauthorized access.

•     If you use an employer-owned device, email address, or network, your employer may have the right to monitor or access your communications.

•     Electronic messages can be difficult to permanently delete once sent or stored.

•     Shared or household devices may be accessed by family members or other individuals.

4. Use of Artificial Intelligence (AI) Tools

The Alpha Clinic may use AI-assisted tools in both administrative and, where applicable, clinical contexts. Our general use of AI-assisted administrative tools, for example, to help staff manage scheduling and correspondence, is described in our Privacy Policy. Where AI tools are used in connection with your visit, for example, voice-to-text or dictation support during an appointment, we will obtain your verbal consent before use. Any notes, records, or files that are assisted or generated by AI tools are reviewed by a physician or authorized clinician before being added to your medical record. AI tools have limitations: the data used to develop them may reflect gaps or biases, and outputs may occasionally be inaccurate or incomplete. AI-assisted tools support, but do not replace, clinical judgment.

5. Limitations

•     We cannot guarantee a specific response time to electronic messages, and non-urgent messages may not be reviewed outside of business hours.

•     Video and virtual visits are not a substitute for an in-person examination where one is clinically necessary.

•     Technology should not be used for urgent or emergency situations. If you are experiencing a medical emergency, call 911 or go to your nearest emergency department.

6. Your Responsibilities

•     Keep any portal login credentials or passwords confidential.

•     Participate in virtual appointments from a private, secure location.

•     Let us know promptly if your contact information changes.

•     Consider the privacy implications of using employer-owned or shared devices for communications with us.

7. Consent

By choosing to communicate with The Alpha Clinic using any of the Technologies described above, or by receiving services from us, you confirm that you have read and understood this Consent to Use of Technology and agree to its terms. You may withdraw this consent at any time by notifying our Privacy Officer; doing so may limit our ability to offer certain services, such as virtual appointments or portal-based communication.
